Dear owners and residents of our building,
In order for our residential building to function safely, smoothly, and without misunderstandings, it is essential to follow a clearly established communication flowchart.
These rules are not based on the whim of the property manager or the owners’ representatives, but directly on the Act on Ownership of Apartments (No. 182/1993 Coll.), GDPR legislation, and the obligation to protect common property and privacy.
We have prepared an overview for you on how to proceed correctly and why we must strictly separate official channels from unofficial social media groups when dealing with official matters.
1. Basic Communication Flowchart (Who deals with what and with whom)

2. Why unofficial groups (FB, WhatsApp) are NOT ENOUGH and what (not) to handle in them
Unofficial groups on social networks are great for neighborly assistance, but for processing property management requests, due to security and legal reasons, they are unusable and inadmissible.
📢 Official owners’ group under the auspices of the representatives:
- We operate exclusively ONE official group. The group is private, and access can be granted upon request by the owners’ representatives after identity verification.
- Joining is voluntary and serves exclusively for quick, informative announcements from representatives to verified owners.
- ⚠️ Warning: Even this group does not serve as an official channel for reporting faults, emergencies, or requests. All faults and requests must be reported through the official channel (by email to the property manager) to ensure a clear audit trail and timely resolution.
- Information in the group is limited: Due to Facebook security risks and privacy protection (GDPR), sensitive financial data, specific contractor quotes, budgets, and breakdown details are not published in the group. The group serves merely as a “notice board” for quick alerts
